Standard: Post Congress AEC Details Update Process
Purpose
AEC needs be updated of details
Process
If Secretary, or Party Agent & Registered Officer change then the following processes apply
- This is to be done at end of the 7 day NC handover period
- Note that Pirate Party Australia elects a "Registered Officer" to the NC, this person also holds the "Party Agent" position
- Office holder positions referred to in this process are the newly elected 'incoming' officers.
- If more than one of the following needs to be done, then hold on to the multiple completed forms and email them to the AEC in a single email. This is not essential, but preferred.
- Do however forward completed forms if others forms that are being waited upon are significantly delayed, held up or contested.
Change Party Secretary form
- Secretary to print and fill out their details in the AEC "Change Party Secretary" form
- Secretary to scan signed form and email to President (or other member of National Council)
- President (or other) to print and sign form as received from Secretary
- President (or other) to scan and email the form back to Secretary
- Secretary to forward form to AEC at [email protected] (as per form instructions)
Appoint Party Agent form
- Secretary to print and fill out top half of the AEC "Appoint Party Agent" form
- Secretary to scan signed form and email to the new Registered Officer (Party Agent)
- Registered Officer to print and fill out their details as requested on the form.
- Registered officer to scan and email the form back to Secretary
- Secretary to forward form to AEC at [email protected] (as per form instructions)
Change Registered Officer for a non-Parliamentary party form
- Secretary to email the AEC "Change Registered Officer for a non-Parliamentary party " form to the new Registered Officer
- Registered Officer to print and fill out their details as requested on the form.
- Registered officer to scan and email the form back to Secretary
- Secretary to email form to the outgoing/former Registered Officer to sign
- Outgoing/former Registered officer to print and sign the relevant declaration, then scan and email form back to Secretary
- Secretary to print, then fill out and sign the first of the 3 declarations on the form.
- Ideally take form to a local meeting and have 2 more members physically sign the form
- if unable to take to physical meeting, then repeat scanning, emailing, printing process with two more members
- as per the form, the 2 additional members should ideally be office holders if possible
- Secretary to forward form to AEC at [email protected] (as per form instructions)
Change of party address details with AEC
- Secretary to email AEC at [email protected] with details of the new address and inform them of the change
